Frequently Asked Questions

How long does it take to start the billing process?

  As for when we take over your account, that is up to you. But once you decide you are ready for us to do your billing, it only takes a couple hours to get your account ready. Electronic billing set-up varies depending on the insurance company. You can be set up for electronic billing under all companies that provide this option within one week with the exception of Blue Cross, Blue Shield, Hill Physicians, Delta Health, Medicare, Medi-cal, and Tricare. These companies take up to six weeks to process your request for electronic billing. During this time, we can continue to bill your claims on paper so there is no lapse in payment.  

 

Who will handle my incoming checks and EOB’s?  
  That is up to you. You can receive your checks at your office and make copies of the EOB’s for us to pick up twice a week, or you can choose to have your checks sent to our PO Box. If you want your checks sent to our office, they can be deposited directly into your account by our office once a week, or dropped off at your office twice a week.  

 

How do you handle patient billing?           

We send out statements to the patients at the beginning of every month. They will receive three billings. The first will simply show their balance due. The second statement will let the patient know their account is past due. Then, the third statement will inform the patient to contact us within 10 days or the account will be forwarded to our collection agency. At that point, we will let you know if the patient has not responded and it will be up to you whether you would like them sent to collections, or if you would like the balance handled in a different way. 

 

What do you need from our office to bill?
  We will need demographic and insurance information for new patients as well as a superbill with the procedures and diagnoses. Once a patient has been established in our system, the only information we will need in addition to the superbill is patient address and insurance updates.  

 

When do I pay for these services?  

At the end of every month, when we close out your account, we will print up a report that shows all of the payment activity for that month. We will attach an invoice to the end of the month report, showing the total amount collected for the month, and the percentage owed for the services provided. 

 

Is the percentage charged on what is billed or what is collected? 
  The percentage paid is based on what is collected, not the amount billed. We do this so you know we are following up as thoroughly as possible. If you don’t get paid, neither do we.
